Privacy Policy
How LumikaHub handles information across the platform and parent mobile app.

LumikaHub provides school-management and family communication services to participating schools. This policy explains what information we process, why we process it and the choices available to users.
Information we process
- Account information such as your name, email address, phone number and school-linked role.
- School information made available to you, including a child's attendance, homework, assessments, marks, notices, activities, transport information and related school records.
- Messages, absence reports and other information you choose to send to the school through LumikaHub.
- Fee, invoice, receipt and payment-status information supplied by the school or an authorised payment provider. LumikaHub does not ask you to store payment-card details in the parent app.
- Basic technical and security information needed to operate the service, protect accounts and diagnose errors.
How we use information
- To provide the school-management and parent communication services requested by your school.
- To authenticate users, protect accounts and keep each school's records separated from other schools.
- To deliver relevant school updates and, with device permission, notifications.
- To provide support, maintain the service and investigate security or reliability issues.
Who can access information
- Authorised staff at your school can access information according to their assigned role.
- Parents and guardians can access only the children and school information linked to their account.
- LumikaHub personnel and service providers access information only when needed to operate, secure or support the platform.
- We do not sell personal information and we do not use school or child information for third-party advertising.
Storage, security and retention
- Information is transmitted over encrypted HTTPS connections. Access is controlled through authenticated accounts and role-based permissions.
- Schools control their operational records and retention requirements. We retain information for as long as the school account remains active, as required to provide the service, or as required by applicable law.
- No online service can guarantee absolute security, but we use reasonable technical and organisational safeguards and review them regularly.
Your choices and rights
- You can decline notification permission in your device settings and continue using the main app features.
- To correct school records, unlink a child, close an account, or request access to or deletion of personal information, contact your school first. You may also contact LumikaHub for assistance.
- Some records may need to be retained by the school for educational, financial, safeguarding or legal reasons.
Children's information
- LumikaHub is provided to schools and authorised family members. Children do not create parent accounts themselves.
- Schools are responsible for authorising family access and for using the platform in line with their safeguarding and data-protection obligations.
Changes and contact
We may update this policy as LumikaHub changes. The effective date above will be revised when material updates are published. Questions or privacy requests can be sent to hello@lumikahub.com.
